Job Description

Responsibilities:

  • Serve as the primary contact for servicing computer hardware, managing and monitoring all computer systems to ensure they are installed properly and functioning efficiently.

  • Keep up to date with all approved systems and technologies, including:

Computer hardware systems and devices, including PC LAN technology, Software operating and utility systems, Front Office and Accounts Receivable Property Management Systems, Interfaces between Front Office Property Management Systems and other systems, Back Office Accounting Systems, PC and LAN-based Office Automation products, Internal and external electronic mail, facsimile, scanner software, and communication tools, Point of Sale Systems, Guest and administration voicemail, Call accounting, Cabling, Hub/switch management systems, Electronic door locking computer systems, Computer virus protection, Hotel IT security and firewalls.

  • Maintain an up-to-date inventory of all computer hardware and software in the hotel.

  • Monitor the performance of systems and maintain a logbook of performance metrics.

  • Understand all standards and customized features and functions of the hotel’s front office system.

  • Ensure that all computer media backups are completed, documented, and stored according to specifications.

  • Maintain uncompromising data and physical security standards.

  • Control access to the computer room, ensuring that fire protection, temperature control, and power requirements meet security specifications.

  • Administer all user IDs, passwords, and sensitive system utilities, securing all critical resources and libraries under the supervision of the IT Manager/Leader.

  • Maintain technical and user documentation, system reports, newsletters, and announcements in a neat, orderly, and secure manner.

  • Follow up on outstanding points from the latest IT audit, including computer-related issues, new releases, MIS trends, and viruses.

  • Ensure that all hotel policies and information security measures comply with established standards.

  • Investigate and report software problems to vendors or the Support Centre.

  • Identify colleagues to train on systems.

  • Coordinate the purchase of program applications or enhancements to meet specific hotel needs, provided these applications are not covered by existing corporate standards.

  • Provide a written monthly progress report to the General Manager and Financial Controller.

  • Establish, document, test, and communicate appropriate disaster recovery emergency procedures to follow when hotel computer systems are inoperable.

  • Ensure viable solutions are adapted for the hotel’s disaster recovery plan and business continuity.

  • Select suitable software and hardware vendors for the hotel.

  • Collaborate with other departments to ensure that all IT-related items meet various audit requirements.

  • Ensure all hotel IT systems are under appropriate maintenance contracts and have routine health checks and repair schedules.

  • Evaluate and assess the lifecycle of all technology-related solutions and assets, providing adequate advice for refreshing hardware and software.

  • Ensure that all necessary settings are properly configured on computer systems, hardware, and servers.

  • Conduct routine software/hardware inventory checks and report the status to the hotel management team.

  • Inspect network performance and redesign the network as necessary to meet hotel operational needs.

  • Take preventive measures to foresee, identify, and analyze potential system performance issues.

  • Manage configuration reports, program files, and data files on computer systems to ensure maximum operating efficiency.

  • Train employees to enable them to take responsibility during the absence of IT colleagues.

  • Act as the primary contact for all computer-related external vendors.

  • Install and test corporate-approved program changes to hotel computer systems.

  • Conduct and coordinate annual PCI and credit card/data security training for hotel employees based on information security standards.

  • Perform any other duties as assigned by management.

Requirements:

  • Diploma or higher in Information Technology, Computer Science, or a related field.

  • Minimum of 5 years of related experience at a supervisory level.

  • Working knowledge of networks, operating systems, and databases.

  • Strong analytical and problem-solving skills.

  • Knowledge of PCI DSS (Payment Card Industry Data Security Standards).

  • Excellent communication skills.

  • A proactive team player, responsible, hardworking, and able to work under pressure.

  • Immediate availability is an advantage.

  • Candidates with less experience will be considered for the position of Assistant IT Manager.
