Job Description

Insurance Secretary

Job Responsibilities

  • Assist senior management of insurance companies with daily administrative support work, covering itinerary planning, meeting preparation, file organization and reception of visitors.

  • Coordinate cross-departmental communication, closely cooperate with underwriting, claims, compliance and finance teams to ensure that administrative processes comply with the insurance industry regulator (IA)’s compliance requirements.

  • Manage confidential files and customer data, strictly comply with the Personal Data (Privacy) Ordinance, and ensure information security and confidentiality.

  • Participate in internal training support, event planning and temporary project assistance as needed, to improve overall office efficiency and service quality.

Work requirements

  • Have secondary five education or above, hold a certificate in secretarial studies, business management or insurance (such as IIQE Paper 1 or CII Certificate) are preferred.

  • At least 2 years of administrative assistant (EA), personal assistant (PA) or insurance industry secretary work experience, familiar with the basic insurance business process and common terminology.

  • Proficient in Chinese and English writing and conversation, able to independently write professional emails, meeting minutes and internal communications; familiar with the operation of Microsoft Office (Word, Excel, Outlook, PowerPoint)

  • Have a high sense of responsibility, attention to detail, and good time management skills, and be able to maintain efficiency and accuracy in parallel tasks and tight deadlines.

  • Have good communication skills and professional etiquette, be able to respond appropriately to internal and external stakeholders, and showcase your professional image and confidentiality awareness.
