Assistant Director of Programme Operations

Responsible for and Work Location(s):

To provides high-level operational oversight and coordination to ensure the seamless execution of AISL Outdoor programmes.

Based in Hong Kong

Department/Function:

Reporting to:

Director of AISL Outdoor

Line Managing:

Director of AISL Outdoor

Relationships:

· Internal: Programme Managers, Project Team (Coordinators, Risk & Safety Officer, Parent Liaison & Communications Officers), Finance, Marketing & Communications, ICT Support

· External: Schools, parents and guardians, student participants, vendors, partners, and service providers

2. Job Purpose

The Assistant Director of Programme Operations provides high-level operational oversight and strategic coordination to ensure the seamless execution of AISL Outdoor programmes. While supporting Programme Managers in planning and delivery, this role assumes responsibility for resource management, logistics, and operational compliance, including timely updates to customer agreements, vendor contracts, and terms and conditions. Acting as a senior operational authority, the position ensures efficiency, clarity, and adherence to organisational standards, enabling Programme Managers to focus on programme quality and participant experience.

3. Responsibilities and Competencies

Responsibilities

Operational Leadership and Strategic Support

  • Partner with Programme Managers to translate programme plans into executable operational frameworks.

  • Oversee all logistical arrangements, including transportation, accommodation, catering, equipment, and on-site resources.

  • Provide proactive solutions to operational challenges, ensuring programmes run smoothly and on schedule.

Operations Compliance and Contract Administration

  • Ensure timely updates and communication of customer agreements, vendor contracts, and service terms.

  • Monitor adherence to contractual obligations and operational standards across all programme activities.

  • Maintain accurate records of agreements, operational documentation, and compliance reports.

Resource and Vendor Management

  • Build and maintain strong relationships with vendors and service providers.

  • Negotiate contracts, manage delivery schedules, and optimise resource allocation for cost-effectiveness and efficiency.

Stakeholder Engagement

  • Act as a senior liaison for schools, partners, and key stakeholders on operational matters.

  • Support Programme Managers in parent communications for critical updates and issue resolution.

Team Leadership

  • Lead and mentor the project team, providing guidance on operational best practices.

  • Conduct staff briefings and training to maintain high standards of delivery.

Post-Programme Evaluation

  • Compile operational reports and contribute to debrief sessions to identify improvements.

  • Drive continuous enhancement of operational processes and resource management.

4. Required Qualifications and Experience

Education

· Bachelor’s degree in Business Administration, Event Management, Hospitality, Education, or a related field.

· Master’s degree is an advantage.

Knowledge

· Expertise in operational planning, resource coordination, and compliance management.

· Familiarity with customer agreements, vendor terms, and service-level standards.

Experience

· 7–10 years of experience in project or programme operations, with at least 3 years in a leadership role.

· Proven experience in managing complex logistics, contracts, and multi-site operations.

Competencies

· Strong leadership and organisational skills with the ability to manage multiple priorities.

· Excellent communication and negotiation skills for engaging diverse stakeholders.

· Advanced problem-solving abilities and capacity to handle unexpected challenges calmly.

· Proficiency in project management tools and digital collaboration platforms.

· Fluent in English; proficiency in Mandarin and Cantonese.
