Job Description
Job Responsibilities

  • Highly efficient management of the director's schedule and personal affairs, including planning and coordination of meetings, appointments and travel plans, and timely reminders of relevant trips to ensure reasonable and conflict-free time arrangements.
  • Responsible for the preparation of various internal and customer meetings, including agenda setting, data preparation, venue arrangement, and meeting minutes and post-meeting follow-up items.
  • Handle the daily communication affairs of the director, including the receipt and distribution, classification and preliminary screening of e-mails and written letters, ensuring that important information is prioritized for review and appropriate response.
  • Write, edit and proofread various business documents, such as business reports, proposals, slide data and formal letters, to ensure that the content is accurate, the format is professional and it meets the company's standards.
  • Organize, update and maintain customer files and business databases, ensure all information is complete, up-to-date and easy to retrieve, and improve departmental operating efficiency.
  • Assist with departmental daily administrative operations, including expense reimbursement voucher sorting, procurement application process submission, and related administrative support.
  • Assist in preparing application documents for insurance, product information, and sales statistics reports, providing written support for business promotion.
  • Act as the main liaison window between the director and team members, external customers, coordinate and communicate with each other, and provide timely and professional administrative and business support services.
  • Assist in customer relationship management, such as holiday greeting arrangements, regular customer data updates, and important anniversary reminders, to enhance customer satisfaction and loyalty.
  • Closely cooperate with other administrative staff to complete cross-departmental collaborative tasks and ensure smooth administrative processes and effective resource integration.
  • Executive Director assigned special projects or temporary tasks, with flexibility and proactivity to respond to sudden needs.


Work requirements

  • College degree or above, business management, literature, communication or related graduates are especially good.
  • Applicants with 2 years or more of administrative secretary or assistant work experience will be given priority, those with film or finance-related industry background will be given priority.
  • Proficient in Chinese and English writing skills, able to independently write professional business documents; have good Mandarin and English communication skills.
  • Proficient in Microsoft Office series of software, AI assistance tools, and able to quickly master the internal systems and tools of the company.
  • Careful and stable, strong sense of responsibility, excellent time management and multi-task processing skills, able to maintain high efficiency and accuracy under pressure.
  • Have good communication and coordination skills, effectively link up and down the chain and cross-departmental cooperation, and demonstrate a high level of service awareness and team spirit.
