Position Overview
We are seeking a tech-savvy Assistant Operations Manager to architect and manage our entire operational ecosystem. This role combines e-commerce platform mastery, CRM optimization, AI-driven process automation, and supply chain logistics. You’ll be the operational backbone ensuring smooth workflows from inventory to customer retention.
Key Responsibilities
E-Commerce & Platform Management
Shopify Operations: Own day-to-day management of Shopify storefront, including inventory sync, order processing workflows, app management, and website backend optimization
Oversee B2B and B2C channel operations, ensuring performance reliability and rapid iteration
Coordinate promotional campaigns and optimize product pages for conversion
CRM & Membership Systems
CRM Architecture: Implement and manage CRM system (HubSpot/Salesforce/Zoho) as the backbone of customer relationships
Membership Management: Design and maintain subscription/membership systems, automated billing, and renewal processes
Data Integrity: Ensure customer records accuracy, clean duplicates, implement data security protocols
Client Journey Optimization: Automate onboarding flows, follow-ups, and personalized communication sequences
AI-Driven Operations
Leverage AI tools to build and optimize operational workflows (customer service automation, inventory forecasting, demand planning)
Implement AI-powered analytics for predictive inventory management and customer behavior insights
Train team members on AI-enhanced operational tools
Inventory & Logistics
Inventory Control: Forecast stock needs, manage restocks/backorders, sync inventory with fulfillment centers
Supply Chain Coordination: Manage supplier relations, negotiate terms, oversee warehousing and 3PL partnerships
Quality Assurance: Implement inventory tracking systems and quality control checkpoints
Process & Systems Architecture
Design end-to-end operational SOPs connecting Shopify → CRM → Inventory → Logistics
Identify inefficiencies and recommend tech solutions to reduce friction
Integrate software stack ensuring seamless data flow between platforms
Required Skills & Qualifications
Technical Skills & Experience Level
Shopify (Admin, Apps, Liquid basics), Advanced (2+ years)
CRM Systems (HubSpot/Salesforce/Zoho), Intermediate to Advanced
AI Tools (ChatGPT/Claude, automation platforms like Make/Zapier), Intermediate
Inventory Management Software, Intermediate
Analytics (Google Analytics, Shopify Analytics, Excel/G Sheets), Intermediate
Project Management Tools (Notion/Asana/Monday), Intermediate
Soft Skills: Analytical thinking with data-driven decision-making approach. Strong problem-solving abilities and process optimization mindset. Excellent communication for cross-functional team training and support. Detail-oriented with ability to manage multiple workflows simultaneously
Preferred Qualifications
• Experience in wellness, supplements, or health industry
• Knowledge of TCM (Traditional Chinese Medicine) service operations
• Familiarity with Chinese consumer market preferences
• Basic understanding of SEO and digital marketing workflows
