Sales Admin Executive

1/ Job Purpose

The Sales & Administration Executive supports day-to-day commercial operations by managing purchase order (PO) processing, documentation, and communication with the Vietnam accounting team for invoicing and payment follow-up. The role is critical to ensuring smooth administrative and operational flow between sales, supply chain, and finance functions.

2/ Key Responsibilities

Sales Order Management

• Process customer purchase orders accurately and ensure timely confirmation.

• Liaise with Vietnam accounting team to issue invoices, manage collections, and reconcile payments.

• Track delivery timelines and update sales and supply chain teams regularly.

Administrative Coordination

• Maintain order, sales, and pricing records in the internal system.

• Prepare monthly sales and inventory reports for management.

• Manage documentation for product listing, returns, and credit/debit notes.

• Support audit and compliance documentation as needed.

Cross-functional Collaboration

• Work with Supply Chain (Singapore), Finance (Vietnam), and Marketing teams to support order fulfillment and trade campaigns.

• Coordinate logistics and customer communication for special promotions and new product launches.

3/ Requirements

• Diploma or Bachelor’s degree in Business Administration, Accounting, or related discipline.

• Minimum 2–3 years’ experience in FMCG, trading, or logistics administration.

• Proficient in Excel and ERP systems (e.g., Xero, QuickBooks).

• Detail-oriented, organized, and able to multitask effectively.

• Fluent in English and Cantonese; Mandarin is preferred.
