Job Responsibilities
- Responsible for the overall planning and coordination of the company's daily administrative affairs, including document receipt and distribution, meeting arrangements, visitor reception, and office resource management.
- Write and organize various types of Chinese and English meeting minutes, notices, announcements, external letters and internal reports to ensure accurate, professional and fluent sentence expression.
- Proficient in Microsoft Office Suite (especially Excel for data processing and report creation, PowerPoint for creating presentation materials), supporting departmental business operations and project presentation needs.
- Assist with handling personnel and administrative affairs, such as preparation of entry/exit documents, attendance record verification, stationery and consumables procurement and inventory management.
- As a cross-department communication bridge, actively contact internal and external units, promote the implementation of matters with decent etiquette and clear expression, and have independent judgment and immediate response ability.
Work requirements
- A must-have is fluency in Cantonese, able to communicate and write daily in Mandarin and English, and those with bilingual (Chinese/English) document processing skills are preferred.
- Have at least 2 years of experience in general affairs, administration or secretarial work, familiar with corporate administrative operations and office management standards.
- Solid writing skills, clear and organized handwriting, able to adjust tone and format based on different audiences and occasions, with no obvious grammatical errors or spelling mistakes.
- Strong sense of responsibility, attention to details and deadlines, able to handle multiple tasks while keeping them confidential, and with good time management and self-planning skills.
- Stable and affable personality, with excellent communication and coordination skills and service awareness, able to support various temporary assignments assigned by the team.
