Job Responsibilities
- Responsible for the entire signing process of Hong Kong insurance products, including the review, preparation, submission and final signature arrangement of new customer insurance application documents, ensuring compliance with the company's internal operating procedures and the relevant compliance requirements of the Hong Kong Insurance Authority (IA).
- Support administrative affairs before and after policy signature, covering document printing, signature scheduling, electronic/paper signature coordination, signature status tracking and abnormal situation reporting.
- Systematize the organization, classification, archiving and storage of customer insurance application documents (including identity proof, financial questionnaire, risk assessment report, etc.), strictly implement data confidentiality policies, and ensure the integrity, traceability and access security of the archive.
- As a front-line collaboration window, maintain close communication with the company's internal underwriting, claims, customer service and compliance teams, synchronize signature progress, coordinate and solve cross-departmental process bottlenecks, and improve overall processing efficiency.
- Regularly review the signature processing workflow and propose simplifications; provide complete and timely file support and explanations to meet the internal audit and external supervision requirements.
Work requirements
- Have at least one year of practical experience as a signatory at a licensed insurance broker or insurance company in Hong Kong; those with only other financial or general clerical experience will not be considered.
- Secondary school graduation or above, able to read and write basic business emails and documents in English, understand common insurance terms and regulatory jargon is preferred.
- Proficient in Microsoft Word, Excel, and PDF editing tools, with basic data input, table creation, and file formatting abilities; using insurance core systems (such as PolicyStar, Sapiens) is an added bonus.
- High sense of responsibility and professional ethics, strict compliance with confidentiality agreements and personal data (privacy) regulations, and able to withstand the daily work rhythm and slight time pressure.
