Job Description

Job Responsibilities

  • Coordinate and manage the complex schedules of the chairman and other high-level executives, covering internal meetings, multinational trips, video conferences, and important itinerary reservations, ensuring precise and efficient time allocation.

  • Lead the preparatory work of the meeting, including agenda setting, information integration and presentation preparation; immediately write a meeting minutes with clear structure and explicit key points after the meeting, and track the progress and implementation status of various resolution items.

  • Assist in the drafting, polishing and typesetting of various business documents, including strategy reports, operational briefings, external letters, internal memos and project proposals, to ensure professional meaning, uniform format and corporate image.

  • As the core communication hub between the senior management team, internal departments, external partners, government agencies and the media, actively coordinate resources, communicate instructions, respond to inquiries and maintain information flow smoothly and confidentially.

  • Coordinate cross-department administrative support and project collaboration, including high-level executive reception arrangements, business visit planning, and corporate-level event organization (such as shareholder meetings, signing ceremonies, media press conferences, etc.), balancing detailed execution and overall process control.


Work requirements

  • Bachelor's degree, with 5 to 10 years of high-level executive assistant (PA/EA) or equivalent position practical experience, those who have served large enterprises, multinational groups or listed companies are given priority.

  • Proficient in Cantonese, Mandarin, and English, able to communicate fluently in three languages, familiar with business terminology and formal writing conventions, and with excellent listening, translation, and cross-cultural coordination skills.

  • Proficient in the use of the Microsoft Office suite (especially Word, Excel, PowerPoint and Outlook), with basic data processing, slide design and email system management skills; those with digital collaboration tool (such as Teams, Zoom, SharePoint) experience are preferred.
