Contract Senior Officer - Facilities Management

Responsibilities

1. Project Planning & Coordination

• Assist in developing project plans, schedules, and resource allocation.

• Coordinate design reviews, technical inputs, and user requirements.

• Prepare meeting agendas, minutes, and action trackers; follow up on deliverables.

2. Procurement & Vendor Management

• Support preparation of tender documents, evaluation reports, and contract administration.

• Liaise with vendors for progress updates, compliance, and issue resolution.

• Track procurement milestones and manage variation requests.

3. Site & Execution Support

• Conduct site inspections and monitor progress against schedule and quality standards.

• Ensure compliance with safety regulations and permit-to-work requirements.

• Coordinate logistics for relocation and commissioning activities.

4. Reporting & Governance

• Maintain project dashboards, risk registers, and issue logs.

• Prepare weekly progress reports and monthly executive summaries.

• Ensure adherence to corporate procurement policies and waiver processes.

5. Handover & Close-Out

• Assist in practical completion, snag list management, and defect rectification.

• Compile handover documentation including as-built drawings, O&M manuals, and warranties.

• Support final account reconciliation and lessons-learned reporting.

Qualifications & Experience

• Diploma in Building Services, Engineering, Project Management, or related field.

• Minimum 3 years of experience in project coordination, fit-out, or renovation works.

• Familiarity with Hong Kong building codes, safety standards, and procurement processes.

• Proficient in MS Office, project scheduling tools (e.g., MS Project), and reporting systems.
