Trade Administrative Assistant
Job Responsibilities
- Responsible for handling import and export documents, including commercial invoices, packing lists, bills of lading, and origin certificates, etc. for the preparation, verification, and submission
- Coordinate with freight forwarders, customs and inspection and quarantine agencies, follow up on goods clearance, ensure goods are delivered on time
- Organize and archive trade contracts, exchange emails, letter of credit terms and related regulations, and maintain customer and supplier databases
- Assist the business department in preparing quotation forms, contract drafts, and trade term explanations, and support order execution and customer communication
- Regularly update trade policy and regulations (such as HKFTA, CEPA, WTO latest requirements), in line with internal compliance review and internal training needs
Work requirements
- Have a college degree or above, majoring in business administration, international trade, logistics or related fields is preferred
- Familiar with Hong Kong and major trading partners (such as Mainland China, Southeast Asia, and the United States and Europe) import and export procedures, customs regulations and common trade terms (such as FOB, CIF, DDP, etc.)
- Able to operate Microsoft Office (especially Excel data sorting and Word file editing), those with basic ERP or trade system (such as SAP, Oracle SCM or local commonly used systems) operation experience are preferred
- Have good writing and communication skills in Chinese and English, be able to independently write professional trade emails and handle cross-border documents; Cantonese is the daily working language, understand Mandarin and basic English reading and writing as a must
- Careful and meticulous, strong sense of responsibility, able to handle multiple tasks simultaneously and deliver them on time, with basic problem analysis and coordination and resolution skills
