Job Description

Job Title:Business Administrative Assistant
Job Responsibilities:

  • Coordinate internal relevant teams and external partners (including suppliers, customers and professional institutions), promote smooth contract negotiation, signing and implementation, timely identify and coordinate the resolution of potential problems, and reduce business delays and compliance risks.

  • Execute pre-contract content and compliance verification, focusing on verifying the completeness of the terms, the authorization path and the accuracy of the file version, ensuring that all contracts have legality, validity and executability.

  • Unify the responsibility for preparing, transferring and managing director-signed documents, including the final draft of the contract, the signature page and related supporting documents, to ensure that the signing process is standardized, efficient and orderly.

  • Establish and maintain a contract archive and file management system to ensure the safe storage, classification management and regular backup of original contracts and electronic copies, meeting the audit, compliance and internal management needs.

  • Continuously monitor contract performance and validity period, and proactively promote renewal, amendment or termination processes as needed to support ongoing business compliance.

  • Through the company's internal system for online review and confirmation of settlement statements, ensure data accuracy before pushing to third parties (such as suppliers or customers), and track the push status.

  • After the settlement statement has been verified, coordinate with the finance department or external service provider to arrange for invoice issuance, ensure that the content meets the tax requirements and is timely distributed.

  • Proactively follow up on receivables collection, including sending payment reminders, communicating and negotiating with debtors, and completing post-payment reconciliation and entry to maintain healthy cash flow.

  • Carefully verify the accuracy of the supply chain invoice, compare purchase orders, delivery records and price terms, identify and report any differences or errors.

  • Prompt the cooperation party to issue invoices in a timely manner, based on the invoices, bills and related vouchers received, formulate a payment plan, and arrange the payment process to ensure timely payment.

  • Execute payment operations (including bank transfers or electronic payments), and then perform a cancellation confirmation after completion, to close the financial process loop.

  • Responsible for all financial transactions and document management, including collection, organization and digital storage of invoices, settlement statements, payment proofs, etc., ensuring complete, secure and easily auditable records.


Requirements:

  • Educational requirements: Advanced Diploma or Associate Degree or above, business, management, finance, etc. related professional qualifications are preferred; fresh graduates are also welcome to apply.

  • Work experience: No limit; those with 1 to 2 years of experience in business assistant, sales assistant or similar positions are preferred.

  • Skills required: Proficient in the operation of Microsoft Office and other office software and financial management systems; Have basic financial processing and contract management skills.

  • Language skills: Fluent Cantonese and English; Mandarin ability is an added bonus.

  • Regulatory awareness: Familiar with Hong Kong local laws and regulations, especially the contract signing process, corporate governance and financial compliance related requirements.

  • Personal qualities: Strong sense of responsibility, attention to details, independent work ability, and good communication and coordination skills.

  • Working qualifications: Must hold Hong Kong permanent residency, or meet the eligibility criteria for the High Talent Pass (High Talent Pass), the Outstanding Talent Entry Scheme (Outstanding Talent Pass), the Non-local Graduates Stay/Return to Hong Kong Employment Scheme (IANG), the Dependents' Entry Visa or other valid work permit.

  • Working location: No. 8, Shesong Road, causeway bay, Hong Kong (mixed work mode, support remote work).

  • Working hours: Monday to Friday, 9:00 am to 6:00 pm.
