Job Description
We are seeking a proactive and well-organized Project Assistant to support our project management team in delivering POS and digital solutions for retail and F&B clients. The role involves coordinating project activities, assisting in documentation and communication, and supporting system rollouts across multiple store locations. You will work closely with internal developers, vendors, and operations teams to ensure smooth execution and high-quality system delivery.
Key Responsibilities
Assist Project Managers in the planning and execution of POS system projects for retail and Food & Beverage sectors, focusing on scheduling rollouts and coordinating on-site activities.
Gather and accurately document user requirements from both clients and internal stakeholders for POS and associated system projects.
Develop and maintain process flow diagrams and detailed functional documentation for various internal teams, including development, support, QA, and operations.
Prepare and manage critical project documentation, such as timelines, test plans, meeting minutes, and status reports.
Monitor project milestones and assist in generating progress reports for internal and external stakeholders.
Serve as a key liaison with clients, vendors, and hardware suppliers to track deliverables and deployment progress
Support User Acceptance Testing (UAT) and general system testing activities by preparing comprehensive test scenarios, collecting results, and ensuring timely resolution of identified issues.
Provide flexible, ad-hoc support to Project Managers to ensure seamless communication and successful, timely project delivery.
Qualifications
• Higher Diploma or Bachelor’s degree in Information Systems, Business, Computer Science, or related fields.
• 1–3 years of experience in project coordination, preferably in retail, F&B, or technology system implementations.
• Strong organizational and communication skills with the ability to handle multiple tasks independently.
• Proficient in MS Office (Excel, Word, PowerPoint) and project tracking tools (e.g. Monday.com, MS Project etc).
• Good command of written and spoken English, Cantonese, and Mandarin.
• Customer-oriented mindset with attention to detail and a team-driven attitude.
